Shipping policy
Effective January 16, 2026
This Shipping Policy applies to purchases made through hepafiltersales.com and is issued by HEPA Filter Sales, LLC.
1. Shipping Charges
Shipping charges are calculated at checkout based on estimated carrier rates, product weight, dimensions, destination, and selected shipping method.
While we strive for accurate real-time shipping calculations, we reserve the right to contact you regarding significant carrier rate discrepancies, oversized freight adjustments, dimensional weight corrections, or specialized shipping requirements. In such cases, additional shipping charges may apply prior to release of the order.
2. Order Processing
Orders are processed Monday through Saturday, excluding major holidays.
In-stock warehouse items ordered before 2:00 PM EST typically ship the same business day. Orders placed after 2:00 PM EST are processed the following business day.
Weekend and holiday shipping availability depends on carrier pickup schedules and may be limited.
Processing times are estimates and are not guaranteed.
3. Inventory & Availability
Not all products displayed on the Site are physically stocked in our warehouse.
Some products may be fulfilled directly from a manufacturer or third-party supplier. Certain items may require additional lead time prior to shipment.
Availability indicators are estimates and do not guarantee immediate shipment.
If an item becomes unavailable or is subject to extended lead time after an order is placed, we will notify you and provide available options.
4. Manufacturer Drop Shipments
To provide broader product availability and faster fulfillment, certain items may ship directly from the manufacturer ("drop shipment").
Drop-shipped items may:
- Ship separately from other items in your order
- Arrive in manufacturer packaging
- Require additional processing time
- Be subject to manufacturer inventory availability
- Ship via a carrier selected by the manufacturer
Once an order has been released to a manufacturer for fulfillment, processing timelines are subject to the manufacturer’s shipping schedule.
5. Shipping Carriers
Orders may ship via USPS, UPS, FedEx, DHL, LTL freight carriers, or directly from manufacturers.
We reserve the right to select the shipping carrier unless a specific method is requested and approved prior to shipment.
6. Customer-Provided Shipping Accounts
Upon request and approval, customers may provide their own carrier account number (e.g., FedEx, UPS, or LTL carrier) for shipment billing.
When shipping on a customer-provided account:
- The customer assumes responsibility for all carrier charges
- The customer assumes responsibility for any billing disputes with the carrier
- We are not responsible for carrier delays, billing adjustments, or account rejections
Orders using customer-provided carrier accounts may require additional processing time.
7. Freight & LTL Shipments
Large, oversized, or palletized shipments may ship via LTL freight carrier.
LTL shipments may require delivery appointments and are subject to carrier scheduling availability.
Additional accessorial charges (including liftgate service, limited access delivery, residential delivery, or re-delivery fees) may apply and are the responsibility of the purchaser.
8. Rush & Expedited Shipping
Expedited or rush shipping options may be available upon request.
Selection of expedited shipping affects transit time only and does not guarantee same-day processing unless confirmed by us prior to shipment.
Carrier delivery guarantees, if offered, are subject to carrier policies and are outside of our control.
9. Backorders & Split Shipments
If part of an order is unavailable, we may ship available items separately to expedite delivery.
Backordered items will ship when inventory becomes available.
10. Risk of Loss
Title and risk of loss transfer to the purchaser upon delivery of the order to the shipping carrier or manufacturer for fulfillment.
Once the carrier has accepted the shipment, delivery timing, handling, and transit conditions are outside of our control.
11. International Shipping
International shipments may be subject to customs duties, import taxes, brokerage fees, and regulatory delays imposed by the destination country.
All customs-related charges are the responsibility of the purchaser.
International delivery timelines are estimates and are not guaranteed.
